We are regulated by the Royal Institution of Chartered Surveyors and we are members of The Property Ombudsman Scheme.

The safeguarding of your Personal Information is very important to us. We have implemented security policies to protect personal data that we have under our control and all personally identifiable information provided to ASR is processed in accordance with the Data Protection Act 2018 and with the UK principles of the General Data Protection Regulations (UKGDPR). What is Personal Information?

Personal Information is any information which identifies you as an individual, such as your name, email address, phone number, date of birth and photo.

The information that we collect

To operate effectively and to fulfil our legal obligations ASR needs to collect, retain and use certain personal information. This personal information may be held by the Company on paper or in electronic format. We may obtain this directly from you if you complete contact forms or ‘view a property’ forms, sign up for our email newsletter, or complete any other form on our website. We may collect it from you by telephone or in person if you register with us as a potential seller, buyer, landlord or tenant. Depending on the circumstances, we may also collect information about you from other sources such as public records or bodies e.g the Land Registry, or from private bodies such as tenant referencing agencies and/or anti money-laundering check providers.

How we use Personal Information about you

Under the GDPR we must always have a lawful basis for using personal information. This may be because the data is necessary for our performance of a contract with you; because you have consented to our use of your personal information; because we have a legal obligation to obtain it or because it is in our legitimate business interests to use it. Personal information which you supply to us may be used for a number of reasons , for example for the purpose of dealing with your requests for information; because of work we have undertaken or are currently engaged in on your behalf; for fraud prevention; for audit and debt collection; for promoting our business or for statistical analysis.

Protecting your personal information

ASR has put in place measures to protect the security of your personal information. It has internal policies, procedures and controls in place to try to prevent your personal information from being accidentally lost or destroyed, altered, disclosed or used or accessed in an unauthorised way. In addition, we limit access to your personal information to those employees, workers, agents, contractors and other third parties who have a business need to know in order to perform their job duties and responsibilities. We do not sell rent or deal in personal information and will not pass on your details to a third party for any purposes unless where necessary in connection with one of the services offered, where necessary to help to prevent fraud or, if legally required so to do. If we sell transfer or merge parts of our business or assets, your personal data may be transferred to a third party who may continue to use your personal data in the same way that we have used it, as specified in this Privacy Policy.

We may engage third-party service providers to perform a variety of business operations on our behalf, including hosting our sites and administering our e-mail or other communications. We provide them with only the personal information they need to perform the services we request, and where possible we contractually require that they protect the information appropriately and not use it for any other purposes.

We have a legitimate business interest in promoting our services to you by sending you material we believe may be of interest to you and information about our own services, by post, telephone, email and SMS. Retaining Personal Information

We keep your personal information for as long as is necessary for the purposes for which it is processed. These periods vary depending on the nature of the information and your interactions with us but we will usually retain your personal data for 6 years after the last point of contact.

How and where Personal Information is stored

All personal information, in whatever format, will be stored in the UK or European Economic Area (the “EEA”). The EEA consists of all EU member states plus Norway, Iceland and Lichenstein. This means that your personal data will be fully protected under the GDPR or to equivalent standards by law. Where we engage third party service providers,  where possible we contractually require that if they use service providers outside the EEA, that they ensure that your personal information is adequately safeguarded in the recipient country.

Access to your information and correction

You have the right to know what personal information we have about you and to ask for details of that personal information and for a copy of it (where any such is held). This is known as a ‘subject access request’. All subject access requests should be made in writing and sent to the email or postal address shown below. There is normally no charge for a subject access request and we will respond as quickly as possible.

You may ask us to correct or remove information you think is inaccurate.
